Executive Secretary

 

Job Purpose

The Executive secretary will have the responsibility of running the day-to-day affairs of the Chapter, with an aim of providing high quality services to Chapter members and implementing the Chapter strategic plan.

 

She/he will ensure proper management and administration of the Chapter office procedures and supports the Directors and Chapter members by overseeing Chapter office duties.

 

Drive the Chapter strategic plan, deliver sustainable membership and financial growth through boosting revenues and forging strong relationships with the membership and Partners/stakeholder engagement.

Job Description.

Chapter Administration

o    Supervision of all secretariat activities.

o    In liaison with the secretary, organize the Board meetings and ensure all the Board minutes are timely provided, and filed accordingly.

o    Supervise the work of all the chapter staff and ensure that their performance is in accordance with the chapter’s policies and procedures.

o    In Liaison with the Chapter Secretary, review the staff Job descriptions, KPI’s/KRA’s and timely appraisal of all the staff.

o    Training secretariat personnels and helping team members develop their skills. Develop entry level staff and interns into valuable personnels.

o    Prepare Chapter personnel's contracts   ensuring adherence to law-established rules and guidelines.


Member Services

o    Planning and overseeing new Chapter strategic initiatives and implementation.

o    Oversee member services such as onboarding of new members, renewal processes and resolution of queries.

o    Organize member activities such as CPD seminars, AGMs, etc


Business Development

o    Develop a growth strategy focused both on financial gain

o    In liaison with the directorate responsible, draft sponsorship proposals/concept notes, developing quotes and proposals for partners engagements and present them to the Board for approval.

o    Work with the secretary to Improve resource mobilization the value and standing of the profession, oversight on the effectiveness of the secretariate operational efficiency and Membership engagement.

o    Contacting potential clients/partners to establish rapport and arrange meetings.

o    Researching organizations and individuals to find new opportunities for collaboration. Increasing the value of current members while attracting new ones.

o    Finding and developing new avenues and leads and improving revenues. Conduct research to identify new markets and membership needs

o    Representing the Chapter by attending conferences, meetings, and industry events.

o    Arrange business meetings with prospective Partners and vendors

o    Promote the Chapter’s products/services in line with the set Chapter objectives

o    Build long-term relationships with new and existing membership, Partners and Vendors.

 

 Minimum requirements:

  • Bachelor’s degree in Business Administration, Marketing or related field.
  • Strong communication and negotiation skills.
  • Ability to manage complex undertakings and multi-task.
  • Excellent organizational skills.
  • Ability to flourish with minimal guidance, be proactive, and handle uncertainty.
  • Experience in sales, marketing, Management or related field.
  • Proven working experience as a Executive Secretary and Business Development Manager or a relevant role.
  • Comfortable using a computer for various tasks.
  • Proficient in Word, Excel, Outlook, and PowerPoint.
  • Experience in customer support is a plus
  • Proficiency in English
  • Market knowledge
  • Ability to build rapport
  • Time management and planning skill.
  • Work under minimum supervision but deliver quality work and timely.

Minimum Age:    30 years and above.

 

Job Experience:    Above three (3) years in the same/related role.
